Overview

"Printer offline" is one of the most common — and most frustrating — Windows printer errors. The printer is connected, powered on, and showing as available, but Windows refuses to print and shows it as offline.

The cause is rarely the printer itself. It's usually a Windows service issue, driver corruption, or network connectivity problem. We'll walk through the systematic fix.

Restart Print Spooler Service

Print Spooler is the Windows service that manages all printing. When it freezes, every printer shows as offline.

  • Press Windows + R, type services.msc, press Enter.
  • Find Print Spooler in the list.
  • Right-click → Restart.
  • Wait 10 seconds, then try to print.

Set Printer Online Manually

Windows sometimes leaves printers in an "Offline" state after errors:

  • Open Settings → Bluetooth & devices → Printers & scanners.
  • Click your printer → Open print queue.
