Overview
"Printer offline" is one of the most common — and most frustrating — Windows printer errors. The printer is connected, powered on, and showing as available, but Windows refuses to print and shows it as offline.
The cause is rarely the printer itself. It's usually a Windows service issue, driver corruption, or network connectivity problem. We'll walk through the systematic fix.

Restart Print Spooler Service
Print Spooler is the Windows service that manages all printing. When it freezes, every printer shows as offline.
- Press
Windows + R, typeservices.msc, press Enter. - Find Print Spooler in the list.
- Right-click → Restart.
- Wait 10 seconds, then try to print.
This fixes ~40% of "printer offline" cases instantly.
Set Printer Online Manually
Windows sometimes leaves printers in an "Offline" state after errors:
- Open Settings → Bluetooth & devices → Printers & scanners.
- Click your printer → Open print queue.
- Click Printer menu at the top → uncheck Use Printer Offline.
- Also clear pending jobs: Printer → Cancel All Documents.
Reinstall Printer Driver
Corrupted drivers are the #2 cause. Reinstall:
- Settings → Bluetooth & devices → Printers & scanners.
- Click your printer → Remove.
- Restart your PC.
- Add the printer back — Windows will install the latest driver.

Check Network Connection (Wi-Fi Printers)
For wireless printers, the printer and PC must be on the same network:
- Print a network configuration page from the printer's menu (every printer has this option).
- Note the printer's IP address.
- On your PC, ping the IP (
ping 192.168.x.x) — if no response, the printer isn't on your network. - Reconnect the printer to your Wi-Fi via its display panel or app.
Run Windows Printer Troubleshooter
Microsoft's troubleshooter automates many fixes:
- Settings → System → Troubleshoot → Other troubleshooters.
- Find Printer and click Run.
- Follow the prompts.
